&nbsp;I am not aware of this history, but staff continuity assures that the SEG is institutionally aware of whatever issues arose back then. &nbsp;None of these were elevated in the April discussion; apparently staff felt that they were dead issues.</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">Why did Vegas get special attention, and not just wait their turn? &nbsp;Locations for the 2012 Annual Meeting are presently being reviewed. Dallas has been asked to present a bid; they are in the process of responding. I thought it might be helpful to have some of what we discussed in writing as regards to the Dallas Section being host of the 2008 meeting as well as my attempt to answer some of your questions in regards to the moving of 2008 Meeting from Dallas to Las Vegas. <br> &nbsp;<br> As discussed we would approach the Steering Committee activities similar to what was done in Salt Lake. Salt Lake was hosted by the Near Surface section. This section has no set location to call home as this group of about 400 is scatted around the world. So in regards to your questions as for travel requirements for planning sessions what is envisioned is:<br> </font></span></font> <ul> <li><font size="4"><span style="font-size: 14px;"><font face="Times New Roman">Planning one or two trips to the convention/hotel facilities by committee members at the very beginning of the planning process. After that the majority of planning meetings would be in the location where most of the volunteers are located (with Salt Lake that was Denver). The first meeting would be held on site to help the committee be familiar with the location and help with their decisions as related to location various events they are responsible. Though it is not on the same scale, keep in mind the majority of the other thirty plus SEG committees make their decisions about their meeting related activities without the advantage of seeing the location. There would be funds built into the budget travel assistance for these meetings for those that need it. &nbsp; </font></span></font></li> <li><font size="4"><span style="font-size: 14px;"><font face="Times New Roman">Volunteers for various activities &#8211; this is two stages. First would be those that help in areas such as bag stuffing, signage, etc. Over the last few years this has been done more and more with the assistance of paid temps. For 2008 it may require an even greater amount. Second and a larger group are session monitors. It is envisioned this group for 2008 would need to be supplemented with university students and paid temps. This is similar to what is now done with registration. Years ago registration was also done by volunteers such as the local women&#8217;s auxiliary. However as these groups shrank and aged it has shifted to temps. &nbsp;<br> </font></span></font></li> </ul> <font size="4"><span style="font-size: 14px;"><font face="Times New Roman"> <br> As regards our conversation about the process involved in the location change. There were several issues that were reviewed in the decision process. Items such as city facilities, convenience of the headquarter hotel to convention center, cost, city downtown attractions (the comparison to Denver, Houston, and San Antonio), review of past meeting surveys of attendees&#8217; wishes for sites locations, what locations our sister societies use (at present neither AAPG or SPE have Dallas dates on their calendars), the fact that SEG would have had the Annual Meeting in Texas three out of four years, etc. <br> &nbsp;<br> In addition historically 25 to 30% of Annual Meeting attendees come from outside the United States. As of late due to visa issues it has become even more important to have a venue that appeals to the international delegate. That along with the fact that more than 50% of SEG members now reside outside the United States we also explored taking the Annual Meeting to venues outside of North America. However, with more than 60% of the Society&#8217;s operating revenue form this one event it was felt this was a risk to great to take. <br> &nbsp;<br> The following actions have been adopted: <br> </font></span></font> <ul> <li><font size="4"><span style="font-size: 14px;"><font face="Times New Roman">start an annual SEG non-North American event (we have targeted to have an annual event outside of North America annually in the very near future)</font></span></font><font face="Verdana, Helvetica, Arial"><span style="font-size: 12px;"> </span></font></li> <li><font size="4"><font face="Times New Roman"><span style="font-size: 14px;">review all existing Annual Meeting locations and dates considering the factors in the paragraphs above</span></font></font><font face="Verdana, Helvetica, Arial"><span style="font-size: 12px;"> </span></font></li> <li><font size="4"><font face="Times New Roman"><span style="font-size: 14px;">make sure future proposed locations fit these same requirements</span></font></font><font face="Verdana, Helvetica, Arial"><span style="font-size: 12px;"> <br> </span></font></li> </ul> <font size="4"><font face="Times New Roman"><span style="font-size: 14px;"> <br> Though the Executive Committee decision was made in April the announcement was delayed. Remembering that at that time the city of New Orleans was at a fragile stage as well as in the world spot light. It was a great concern that the risk was too large to announce anything that may take away the positive momentum we were working hard to establish. In review of registration/exhibitor patterns we are aware that many individuals and companies only pay or allow their employees to attend the Annual Meeting every two or three years. We did not want to give any of these groups a reason for delaying attendance. In short the announcement delay was done for what was deemed to be the best for the entire Society. &nbsp;<br> &nbsp;<br> In closing there are two additional items about which you should be aware. One is the 2012 meeting locations are presently being reviewed. Dallas had been asked for a bid. They are in the process of responding. If dates are available and the city achieves the proposed downtown improvements they have discussed with SEG, they will be considered. And last, the Executive Committee made a similar decision to move the 2011 meeting planned for New Orleans. This was done as to allow a greater time frame to review the long term recovery of the city. <br> &nbsp;<br> In closing, the decisions that were made were done so in what was believed the best interest of all SEG members. Several of those that preferred the meeting in Dallas also thought we should complain.</font><font face="Verdana, Helvetica, Arial"><br> &nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<br> &nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;</font><font face="Arial"> &nbsp;&nbsp;As President of the Dallas Geophysical Society I am particularly bothered by the manner in which I heard of your collective decision to change the 2008 convention venue. &nbsp;Your decision indicates a total lack of concern or sensitivity to the local hosting society. &nbsp;Until a few weeks ago we, the Dallas Geophysical Community, were expecting to be hosting a convention in Dallas in two years. &nbsp;After the San Antonio convention, are you going to let the folks in Houston read in the TLE calendar that the 2009 meeting will be headed to Washington D.C. instead of Houston? &nbsp;I am not aware of this history, but staff continuity assures that the SEG is institutionally aware of whatever issues arose back then. &nbsp;None of these were elevated in the April discussion; apparently staff felt that they were dead issues.</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">Why did Vegas get special attention, and not just wait their turn? &nbsp;This decision was not driven by pressure from Vegas, but rather by disappointment with the convention facilities in Dallas, and an urgent search for an alternative. &nbsp;(There were several other alternatives on the table, including Dallas; Las Vegas was the one chosen by ExComm.) &nbsp;Had there been no issue with Dallas, we would have had no discussion, or a different discussion, perhaps about whether or not Vegas should have an eventual slot in the rotation.</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">When will Dallas' turn come next? &nbsp;Locations for the 2012 Annual Meeting are presently being reviewed. Dallas has been asked to present a bid; they are in the process of responding. If dates are available and the city achieves the proposed hotel and downtown improvements that they have discussed with SEG, they will be considered. &nbsp;I think that this decision will come before this ExComm in the spring.<br> </font></span></li> </ul> </li> </ul> </ul> <span style="font-size: 12px;"><font face="Verdana, Helvetica, Arial"><br> </font><font face="Arial">2. &nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;The communication of this April decision did not occur until October, and you are quite correct to be irritated by that. &nbsp;We owe you, and the DGS community our sincere apologies for this late communication, and for the mode of communication.<br> </font></span> <ul> <ul> <li><span style="font-size: 12px;"><font face="Arial">In fact, President Terry Young inquired of the staff, more than once during this interval (April-October) and starting soon after the decision, about the public announcement, and was given several reasons for the delay. Time was needed to:</font><font face="Verdana, Helvetica, Arial"> <br> </font></span> <ul> <li><span style="font-size: 12px;"><font face="Arial">get commitments from Vegas,</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">terminate contracts with Dallas,</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">sign contracts with Vegas.</font><font face="Verdana, Helvetica, Arial"> <br> </font></span></li> </ul> </li> <li><span style="font-size: 12px;"><font face="Arial">The ExComm took no role in this process (beyond Terry Young's inquiries). &nbsp;However, to me, these are legitimate reasons, and I have no quarrel with them.</font><font face="Verdana, Helvetica, Arial"> </font></span></li> <li><span style="font-size: 12px;"><font face="Arial">Beyond that, a marketing decision was made, to further delay the announcement of the venue change.
